Position: Skilled Veterinary Receptionist, Part Time

Availability: Part time, schedules often include Saturdays

Seven Oaks Animal Hospital is in search of a skilled, compassionate individual to join our client-centered practice.  The successful candidate will become an integral part of our veterinary team, assisting the doctor with pet exams, radiography, surgical anesthesia, dental prophylaxis, and utilizing basic and advanced nursing/technical skills.  Every member of the Seven Oaks team is expected to demonstrate strong communication and relational skills.  We place high value on the Client/Pet experience.  Ongoing staff education is a priority.  

The available position is for part time (must have afternoon availability until at least 6:30 pm) employment.

Job requirements:

*18 years of age or older.

*Commitment to safe, fear-free animal handling.  We can teach you these skills.  Rough, aggressive handling of animals is strictly prohibited.

*Solid mastery of English language in person, on the phone, and in writing.  Proper use of grammar is mandatory. 

*Flexible availability: Business hours are 8 am-6 pm Mon, Tues, Thurs, Fri; 8 am-2 pm Wed; 9 am-2 pm Saturday.

*Reliable personal transportation and reliable personal telephone are required.

*Personal cell phone use is not allowed on the clock, and cell phones are not permitted on your person or on your desk while on the clock.  Strict adherence to this policy is required, as this is crucial to maintaining our high level of client-focus and patient safety.  Cell phone distraction during your shift can result in serious injury.  

*Must have a reliable phone number and means of receiving email communication.

*Team attitude and a drive to demonstrate excellence for every client and pet

*High level of integrity and ethical standards

*Attendance at weekly team meetings

*Professional level personal hygiene

*Ability to accurately follow directions and problem-solve

*Physical requirements: ability to stand, crouch, or kneel for extended periods of time.  Ability to lift and carry up to 50 lb. from the floor, such as may be required for carrying prescription foods.

*Love of pets, especially cats and dogs.  Respect for the human-animal bond.  Willingness to learn and consistently utilize low-stress handling techniques.

*Computer skills:

– Maintain computer use for business purposes only.  Personal use of business computers (including social media) is strictly prohibited.  

-Proficiency in standard word processing applications, such as MS Word.

– Proficiency in scanning documents, renaming documents, utilizing email attachments, browsing for files.

-Basic use of spreadsheet applications, such as MS Excel

-Basic use of touchscreen tablets, such as iPad and Droid-based systems

-Proficiency in social media and/or producing web content is a plus, but not required.

*Participation in basic hospital upkeep duties, which are shared among all team members.

Summary of routine tasks.  This is not an all-inclusive list, but covers the most common tasks

  • Utilize practice software to anticipate clients/patients and greet by name on arrival to the practice
  • Escort clients during their visit.  Anticipate and address special needs, such as providing coloring pages for young children and ensuring adequate seating for the clients.
  • Help clients to their vehicles any time this is needed.  This may include carrying a bag of prescription food, helping to hold their pet, holding doors, etc.  
  • Answer phone calls on multiple lines that may ring simultaneously.  
  • Take detailed notes on conversations to ensure all client needs are met
  • Follow through on client messages.
  • Scan documents for attachment to patient files or for faxing
  • Download and print documents
  • Email clients and text clients through our approved means (never via personal cell phone)
  • Maintain client recall/reminder lists
  • Act as team player in maintaining exam room preparation and hospital cleanliness
  • Print various client forms, ensure completion by clients, and file appropriately.
  • Honestly and ethically handle cash, credit cards, debit cards, and personal checks
  • Shared light cleaning responsibilities, such as emptying trash, dusting, disinfecting surfaces, sweeping, mopping, and bathroom cleaning

Hospital Assistant- Part time, flex schedule during normal business hours.

Job description: This position is a part-time flex-schedule position.  Scheduling may average between 20-25 hr/week, and may be scheduled as a split shift.  The Hospital Assistant responsibility is to support the Service Coordinator and the Veterinary Assistants in delivering excellent care and experience for clients and pets.  This person must have a friendly, client oriented outlook, and is expected to interact with and connect with clients in a positive way.

 

Some of the duties of this position are as follows:

  • Receive and greet clients via telephone and in person when they present to the clinic
  • Schedule appointments
  • Check out clients and handle money
  • Email and fax records and information
  • Prepare exam rooms for clients, including setting up accessories as appropriate (rugs, bath mats, treats according to the pet, kleenex, welcome boards, estimate printouts, prepare scale, ensure that floors/walls/seating/counters/exam table are all clean and ready for a new client/patient)
  • Clean exam rooms after pet visits (disinfect surfaces, sweep or vacuum, mop, organize, stock)
  • Set up and run labs, including handling and preparing blood samples, fecal samples, urine samples, cytology stains
  • Accurately fill prescriptions as directed
  • Prep patient go-home bags with handouts, paperwork, samples, medications, etc. as directed
  • Perform daily maintenance on veterinary equipment as needed according to manufacturer recommendations
  • Hold pets for exams and minor procedures, such as nail trims
  • Walk pets for bathroom breaks
  • Perform kennel checks, ensuring all hospitalized pets stay clean, dry, with water and any other necessities as appropriate.
  • Perform hospital cleaning tasks, including laundry, disinfecting surfaces, cleaning up behind pets, cleaning kennels, cleaning the bathroom
  • Ensure the End-Of-Day checklist is complete and accurate
  • Properly clean, pack, sterilize, and stock surgical and dental instruments
  • Properly organize anesthetic and surgical equipment after anesthetic procedures
  • Other duties as assigned
